Protocol for conducting KUA programs
  • The Institution or city chapter which wishes to conduct academic programs in association with KUA shall intimate the council well in advance.
  • The scientific program will be done by the host in association with the Council.
  • It is the responsibility of any institution/member who wishes to conduct the program to inform or get permission from the local association if need be, and not the responsibility of KUA.
  • The Organizing Committee of such programs has to also send written communication to the Secretary either through member login in KUA website or by email.
  • The Secretary will disseminate the information to all members.
  • A total of Rs 50,000 is available for such programs for the entire year, with maximum of Rs 15,000 per program.
  • The council members are expected to attend KUA programs.
  • A certificate of appreciation and a cheque is to be given by the council to the organizing committee during the inaugural ceremony of the program.
  • After the program, the Secretary, KUA should request the organizing secretary of thr program to send a brief report of the program along with some photos, which will be put up in the news section and also archived under KUA programs.

Mock exams feedback form template
  • It was decide in the council meeting that henceforth one mock exam will be held under KUA in the month of March every year. The next mock exam will be held at NU Hospitals, (West) Bangalore in the month of March 2020.

Inaugural function Protocol

The Inaugural ceremony time has to be fixed by the organizing committee in consultation with KUA Council and will be presided by the President KUA. All council members are expected to be present in the hall.

  • The order of welcome of the dignitaries on the dais would be the President KUA who would be seated in the centre (exception when the Governor/ Head of the State Presides), Chief Guest, Guest of Honour, President ASU (if any), Secretary KUA, President Local Urology Body (if any), Dean (if any), Organizing Chairman, Organizing Secretary
  • Invocation.
  • Welcome speech by the organizing committee chairperson/secretary.
  • Lighting the lamp.
  • Prizes read out by the Secretary KUA (last year’s winners in various categories and this year's winner of Manipal best published paper prize)
  • Distribution of prizes by the President KUA only and no other.
  • Presidential address by the KUA President.
  • Souvenir release ceremony (if any).
  • Speech by the Guest of Honor.
  • Chief Guest's speech.
  • Vote of thanks.
  • National Anthem.

Protocol for conducting various scientific sessions at KUACON
  • Intimate author and moderators / and judges in advance.
  • Get the certificates of author and moderators printed by the organizing committee before the conference, with their names, place, title and category of presentation. Confirm if it is as e certificate or hard copy.
  • A copy of the abstracts in various categories should be done and handed over to organizing committee for souvenier
  • Confirm their participation on the day of the scientific session
  • If author is not available, make alternate arrangements wherever possible
  • If moderator not available, make alternate arrangements wherever possible
  • Keep copy of scientific program on the moderator / and judges table
  • Keep the evaluation sheets on the moderator and judges table
  • Inform moderator / and judges to maintain time as in scientific program
  • Announcement by Secretary, KUA or announcer should be “We invite Dr …., Dr…., Dr…. on stage and start the proceedings of  .……. session” 
  • The moderator / and judge after being seated should invite the author to make the presentation of his topic as in title.
  • Keep bell with announcer to keep alarm during author’s presentation
  • No mementos need to be given to moderators after session
  • Make council members conduct programs in parallel halls if there is such an arrangement.

Prof P Venugopal Oration Protocol
  • This prestigious oration of the KUA will be delivered by the orator chosen by the council of KUA.
  • The oration will have to be timed in consultation with the Secretary who would be adjust the timing according to the scientific schedule.
  • This oration has to be chaired by the President KUA and Secretary, KUA.
  • The President, KUA invites the orator to the dais.
  • The Secretary, KUA introduces the orator.
  • The President invites the orator to deliver his oration.
  • The chairperson thanks the orator.
  • NO QUESTION AND ANSWER SESSION.
  • The Secretary reads out the citation to be awarded to the Orator.
  • The President KUA gives the plaque to the orator.
  • No certificates or mementos for moderation should be given to the President or Secretary by the Organizing Committee after the oration.

Dr. MP Raju Mysogus Endowment Lecture Protocol
  • This prestigious Endowment lecture of the KUA will be delivered by the orator chosen by the council of KUA.
  • The oration will have to be timed in consultation with the Secretary who would be adjust the timing according to the scientific schedule.
  • This oration has to be chaired by the President Elect KUA and Secretary, KUA.
  • The President Elect, KUA invites the orator to the dais.
  • The Secretary, KUA introduces the orator.
  • The President Elect invites the orator to deliver his Endowment Lecture.
  • The chairperson thanks the orator.
  • NO QUESTION AND ANSWER SESSION.
  • The Secretary reads out the citation to be awarded to the Orator.
  • The President KUA gives the plaque to the orator.
  • No certificates or mementos for moderation should be given to the President Elect or Secretary by the Organizing Committee after the oration.

General Body Meeting Protocol
  • The date, time and location for the General Body Meeting has to be fixed and announced by the Secretary, in consultation with the council.
  • The GBM meeting notice mentioning the date, time and location for the General Body Meeting and the agenda for the General Body Meeting has to be sent by the Secretary to the full members notice 4 weeks in advance. The minutes of the previous GBM should be also attached. Secretary should also mention that full members who wish to propose any amendments should bring it to the notice of the Secretary within 2 weeks of the GBM.
  • The GBM should not be preponed.
  • If postponed due to unavoidable circumstances, all members should be informed.
  • The President KUA will preside over the General body meeting.
  • Seated along with the President would be the Secretary, KUA and the Treasurer KUA. The assistant of the Secretary can be seated behind to note down the minutes of the General body.
  • The President calls the meeting to order
  • To check whether quorum is present or not.
  • To request the non-members and the trade delegates to leave the hall as soon as the General body meeting is called to order.
  • If the quorum is not present, the President could adjourn the meeting for 30 minutes and reconvene it. At the reconvened meeting, the members present shall constitute the quorum and no fresh agenda shall be included for discussion.
  • A ledger has to be maintained by the Secretary, the members who are attending the General body have to sign the attendance register and minutes of the GBM written.
  • The President conducts the meeting with the Welcome address of the members.
  • The meeting proceeds as listed in the agenda.
  • Members shall speak with the permission of the chair. Issues raised without the permission of the chair and not included in the agenda will not be recorded.
  • The President has to reply to the queries raised by the members. He can clarify certain matters with his secretary but the communication to the members is through the President. The Secretary can speak or clarify only if permitted by the President.
  • At the end of the meeting, President shall declare the meeting closed.

Valedictory Function Protocol

President KUA, Secretary KUA,Organising Chairman and Organising Secretary will go to dias in order and President, KUA would be seated at the centre. All council members are expected to be present in the hall.

  • President presides over the function.
  • Welcome address by the President.
  • Speech by the Secretary, with announcement of the prizes.
  • Organising Chairman / Secretary speech.
  • Comments/appreciation words by the members with the permission of the chair.
  • President asks entire council to come to dais and awards certificate of appreciation to Organizing Committee
  • Handing over charge to the new President (If President indisposed,handing over is to President elect) and incoming office bearers.
  • Presidential address by the incoming President
  • Vote of thanks.
